Overview

At Vorlixenghodon, we understand that sometimes plans change and you may need to cancel or reschedule your workshop booking. This Return and Cancellation Policy outlines our procedures for handling such requests. We strive to be as flexible as possible while ensuring the sustainability of our business and fairness to all our customers.

Please read this policy carefully before making a booking. By completing a purchase on our website, you acknowledge that you have read, understood, and agree to abide by this Return and Cancellation Policy.

Workshop Cancellation by Customer

We understand that circumstances beyond your control may require you to cancel your workshop booking. Our cancellation policy is as follows:

More than 14 days before the workshop: If you cancel your booking more than 14 days before your scheduled workshop date, you will receive a full refund of the amount paid. The refund will be processed to the original payment method within 5-10 business days.

7 to 14 days before the workshop: If you cancel your booking between 7 and 14 days before your scheduled workshop date, you will receive a 50% refund of the amount paid. Alternatively, you may choose to receive a credit note for the full amount, valid for 12 months from the date of issue.

Less than 7 days before the workshop: Cancellations made less than 7 days before the scheduled workshop date are not eligible for a refund. However, we will offer you a credit note for 50% of the booking value, valid for 12 months, which can be used towards any future workshop or private event.

No-shows: If you do not attend your scheduled workshop without prior notice, no refund or credit will be provided. We encourage you to contact us as soon as possible if you are unable to attend, as we may be able to accommodate a transfer to another participant.

Rescheduling Your Booking

We understand that life happens, and we want to make it as easy as possible for you to enjoy our workshops. Rescheduling options are available as follows:

More than 7 days before the workshop: You may reschedule your booking to any available date within 6 months of your original booking date at no additional charge. Rescheduling is subject to availability and can be done by contacting us directly via email or phone.

Less than 7 days before the workshop: Rescheduling requests made less than 7 days before your scheduled workshop are subject to a £10 administrative fee. The rescheduled date must be within 3 months of your original booking date and is subject to availability.

Same-day rescheduling: We are unable to accommodate same-day rescheduling requests. If you cannot attend on the day of your scheduled workshop, please refer to our cancellation policy above.

Please note that each booking can only be rescheduled once. If you need to change your date again after rescheduling, the booking will be treated as a cancellation and our standard cancellation policy will apply.

Workshop Cancellation by Vorlixenghodon

In rare circumstances, we may need to cancel a workshop due to unforeseen circumstances such as adverse weather conditions, instructor illness, or other events beyond our reasonable control. In such cases:

Full refund option: You will be entitled to a full refund of the amount paid. The refund will be processed to the original payment method within 5-10 business days.

Rescheduling option: Alternatively, you may choose to reschedule your booking to any available date within 12 months of the original booking date at no additional charge.

Credit note option: You may also choose to receive a credit note for the full amount paid, valid for 12 months from the date of issue, which can be used towards any workshop or private event.

We will make every effort to notify you of any cancellation as far in advance as possible by email and phone using the contact details provided at the time of booking.

Private Event Cancellations

Private events, including birthday parties, hen parties, and corporate events, have separate cancellation terms due to the bespoke nature of these bookings:

More than 30 days before the event: Full refund of the deposit paid, minus a £50 administrative fee.

15 to 30 days before the event: 50% of the total booking value will be refunded.

Less than 15 days before the event: No refund will be provided. However, you may transfer your booking to another group or individual, subject to our approval.

Reduction in group size: If you need to reduce the number of participants in your private event, please notify us as soon as possible. Reductions made more than 14 days before the event will be accommodated with an adjusted invoice. Reductions made less than 14 days before the event will not result in a refund for the reduced number of participants.

Gift Vouchers and Credit Notes

Gift vouchers and credit notes issued by Vorlixenghodon are subject to the following terms:

  • Gift vouchers are valid for 12 months from the date of purchase
  • Credit notes are valid for 12 months from the date of issue
  • Gift vouchers and credit notes are not redeemable for cash
  • Gift vouchers and credit notes cannot be extended beyond their expiry date
  • Lost or stolen gift vouchers cannot be replaced unless proof of purchase is provided
  • If the cost of a workshop exceeds the value of the gift voucher or credit note, the difference must be paid at the time of booking
  • If the cost of a workshop is less than the value of the gift voucher or credit note, no change will be given, but the remaining balance can be used for future bookings within the validity period

Refund Process

All approved refunds will be processed as follows:

Payment method: Refunds will be issued to the original payment method used for the purchase. We are unable to process refunds to a different card or through a different payment method.

Processing time: Please allow 5-10 business days for the refund to appear in your account after it has been processed. The exact time may vary depending on your bank or payment provider.

Confirmation: You will receive an email confirmation once your refund has been processed. If you do not receive this confirmation within 5 business days of your cancellation request being approved, please contact us.

How to Request a Cancellation or Refund

To request a cancellation, rescheduling, or refund, please contact us using one of the following methods:

Please provide your name, contact details, booking reference number, and the reason for your request. We aim to respond to all requests within 2 business days.

Exceptions

We may, at our sole discretion, make exceptions to this policy in circumstances that we deem to be exceptional. Such exceptions will be considered on a case-by-case basis and are not guaranteed. Examples of circumstances that may be considered include:

  • Serious illness or injury (medical documentation may be required)
  • Bereavement
  • Significant travel disruption (such as national transport strikes or severe weather warnings)

Changes to This Policy

We reserve the right to modify or update this Return and Cancellation Policy at any time. Any changes will be posted on this page with an updated "Last Updated" date. The policy in effect at the time of your booking will apply to that booking.
